Energy Resourcing is an engineering & personnel service provider active on four continents in the oil, gas, energy, renewable energies, chemical, petrochemical, refining and construction sectors. We recruit technical specialists and managers for demanding national and international projects of our technologically leading customers. On behalf of our client we are currently recruiting for a Global Mobility Coordinator, located in The Hague.

The Global Mobility Coordinator will be responsible for various tasks within the administration, immigration, and payroll processes:

Administration

  • Prepare assignee correspondence e.g. assignment letters, extensions, welcome e-mails, etc., as applicable, and obtain any necessary approvals.

  • Ensure correspondence is issued to the assignee and all relevant stakeholders

  • Advise managers and expats on appropriate terms and conditions for each assignment

  • Maintain HR and Global Mobility Databases with expat data as appropriate

  • Maintain Assignee files with copies of documents as appropriate

  • Update and maintain local Global Mobility processes and procedures as necessary

Immigration

  • Screen assignees for permit eligibility and coordinate with the relocation service provider or immigration provider for processing

  • Advise hiring managers regarding visa and permit options, timescales, and costs

  • Work with relocator or immigration provider to ensure permits are obtained in a timely manner

  • Track permit progress and keep stakeholders informed Induction and relocation

  • Ensure timely coordination of the following actions, including assignee briefing - explain key policies, processes, and terms and conditions e.g. Tax equalization, GSD (Goods & Service Differential), immigration process, relocation steps, expense claims, timesheets, etc.

  • Coordinate with the relocation service provider on accommodation and schooling

  • ensure temporary accommodation is reserved in line with the arrival date.

  • Initiate vendor services such as home search, and school search, and coordinate documentation for securing rental property/ school place; references, and deposit administration. (coordinate opening of bank account and reference letter, local registrations - coordinate application for local social security number / other registrations, relevant tax applications).

  • Provide ongoing support to assignees with assignment matters such as questions regarding payroll, benefits, immigration, expenses, insurances, and local benefits e.g. housing, transportation, schooling, shipping, and local registrations.

Payroll

  • Apply for/ ensure Certificates of Coverage/A1s are obtained by the assignee's home country and copies are provided to the expatriate payroll provider.

  • Liaise with payroll as and when necessary to ensure changes to compensation are captured for tax remittance/ local payment

Qualifications:

  • Bachelor's degree or equivalent, with an advanced degree preferred

  • 2 - 3 years of experience in a similar role (in HR or GM) with proven experience in adapting to the cultural variations of doing business globally

  • Demonstrated ability to excel in a fast-paced, often ambiguous environment

  • Knowledge of complete assignment life-cycle, mobility policies and processes, European immigration laws, social security, and tax issues

  • Highly motivated, organized, and able to multitask

  • Excellent written & verbal communication skills

  • Excellent interpersonal and relationship development skills

  • Good level of numeracy, data and presentation skills

  • Fluent English; ability to speak Dutch is highly recommended
