Document Control / Project Assistant
Position: Contract
Location: Monrovia, CA
The Document Control / Project Assistant will provide administrative support for the customer team. Must have good communication skills (both oral and written). Will provide administrative and logistical support for multiple managers (up to 10) and supporting the Document Control Specialist and existing Project Assistants with meeting arrangements, progress tracking, and documentation on large, complex international projects. Schedules and coordinates meetings, travel, and other group activities. Has advanced word processing, spreadsheet, and graphics software skills.
Duties and Responsibilities:
- Manages files and document processing in compliance with best practices
- Follow the document control process for receiving documents, routing to engineers for approval, and sending the documents back to the client(s)
- Logs revisions and distribute to key team members
- Ensures transfer of engineering documents into the proper channels
- Feed documents into the main library, which includes regular submittals through Design and Construction, and the final documents turned over to the Project Managers
- Document formatting
- Prepare correspondence
- Calendar management, will schedule and coordinate meetings
- Some travel assistance
- Prepare PowerPoint presentations
- Coordination and collaboration with project team and other administrative team members
- Advanced word processing, spreadsheet, and graphics software skills
- Experience working with international customers preferred, but not required
- Knowledge of Microsoft 365 applications such as Teams collaboration tool
Qualifications:
- 3+ Yeas experience as a Project Assistant, Document Controller or Executive Assistant
- HS Diploma or GED required.
- Advanced knowledge of Microsoft Office suite
- Excel, PowerPoint, Word, Outlook
- Ability to build strong working relationships with diverse groups. The job duties are diverse and require quick, accurate, and consistent decision making
- Able to handle multiple priorities from multiple sources
- Previous experience in maintaining high level calendars
- Previous experience in coordinating travel (Domestic / International) (Preferred)
