Project Administrator
Position: Contract
Location: Monrovia, CA
The Project Administrator will provide administrative support for the customer team. Must have good communication skills (both oral and written). Will provide administrative and logistical support for multiple managers / Projects and supporting the Document Controller and existing Project Administrators with meeting arrangements, progress tracking, and documentation on large, complex international projects.
Duties and Responsibilities:
- Under limited supervision, plans and conducts and may supervise work of self and others.
- Has ability to lead project teams, business unit, or department.
- May participate in cross-functional collaboration.
- Provides administrative support in a variety of functions to a department head, team, department or another group in an organization.
- Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets,
- and other presentation materials.
- Responds to or routes non-routine or confidential inquiries from external or internal sources with correspondence or other messaging.
- Schedules and coordinates meetings, travel, and other group activities.
- Has advanced word processing, spreadsheet, and graphics software skills.
- Seasoned level support position responsible for performing complex and varied work assignments that are more specialized, requiring a deep understanding of their specific area of expertise.
- Typically will support senior managers or executives, with work involving frequent visibility to high level internal and external customers.
- Positions at this level may be required to perform involved mathematical calculations.
- May have specific process or program coordination responsibilities assigned as part of the regular work routine.
- Schedules and coordinates meetings, travel, and other group activities.
- Has advanced word processing, spreadsheet, and graphics software skills.
- Proactively sets priorities related to complex situations having multi-project and/or organizational impact.
- Contributions are primarily technical rather than managerial.
- May be involved in guiding strategies.
Qualifications:
- Secondary school education or equivalent and 7+ years relevant experience.
- Advanced support position, performing assignments that are broad and complex in nature.
- Advanced understanding of systems, processes and tools related to field.
- Able to assist others and troubleshoot issues with systems, processes and tools.
- Ability to build strong working relationships with diverse groups. The job duties are diverse and require quick, accurate, and consistent decision making
- Able to handle multiple priorities from multiple sources
- Previous experience in maintaining high level calendars
- Previous experience in coordinating travel (Domestic / International)
